As someone whose job immerses me daily in the world of artificial intelligence (AI), I’ve witnessed firsthand how rapidly this technology is transforming industries and our daily lives. While presenting during a recent live webinar on this topic, a number of questions came in focused around the new European Union AI act. This motivated me to write this article and address some of the questions that were posed during the live broadcast.
What? The EU AI Act, is designed to ensure AI is used ethically and responsibly and was entered into force on 1st August 2024. Article 4 of the AI Act mandates that providers and deployers of AI systems must ensure their staff have sufficient AI literacy for their roles.
Who? It applies to any organisation that provides, deploys, imports, or distributes AI systems within the EU, even if the organisation is based outside the EU. It also applies if the output of the AI system is used in the EU.
When? The AI Act is already in effect. The requirement for an AI-literate workforce is part of the general provisions of the AI Act and applies from 2 February 2025. If you haven’t deployed AI literacy training for your workforce yet, you may already be non-compliant.
How? Non-compliance to the AI Act can lead to fines of up to €30 million or 6% of global annual turnover, whichever is higher. Ignoring this information won’t make it go away!

In my experience, an effective AI policy serves as a framework guiding the ethical and responsible use of AI technologies. Such policies often address:
- Proper credit attribution for AI-generated content
- Employee oversight of AI outputs before publication
- Limitations on AI’s access to and retention of personal data
Crafting these policies requires balancing innovation with risk management. For instance, while the European Union’s AI policy aims to mitigate risks, some argue it may stifle innovation. Conversely, others believe that without stringent policies, we risk unforeseen consequences.

Best Practices for Developing AI Policies
From my experience of working first hand my major European enterprises across Europe, I’ve gleaned several best practices:
- Engage across the business: Involving diverse voices ensures comprehensive policies that address varied concerns.
- Be Agile: As AI evolves, so should your policies. Regular reviews and updates are crucial.
- Ongoing Assessment: Regularly monitoring AI systems helps ensure optimal performance and enables quick action to remediate any unexpected outcomes or issues.
In conclusion, as we navigate the AI-driven future, establishing and adhering to robust AI policies is a business imperative. The EU AI act is our first step in this direction and, while not perfect, does go some way towards safeguarding ethical standards and increasing public trust.
